Office Administrator

You will be a positive, happy, flexible and skilled member of the support staff team working closely with the Head and office team to provide an excellent experience for all our pupils, visitors, and parents. You will have a ‘can do’ attitude, be discreet and efficient and will enjoy being part of a busy and happy school community who are working to deliver the school’s vision.

Hours:  Monday to Friday  8am – 5pm 5 days a week (State school holiday plus one week at the end of August) 38 Weeks of the Year

Responsibilities

  • Meet and greet all current parents and visitors ensuring that they are given a first-class welcome and a great impression of our School;
  • Provide high quality administrative and secretarial support to the Head, Deputy Heads, Finance Manager and Compliance Manager and keep them informed of any relevant matters concerning pupils, staff or parents;
  • Work closely with the support and teaching staff to ensure a smoothly run office and school;
  • Triage school emails and post ensuring enquiries and messages are dealt with in a timely and professional manner and relevant staff are included in correspondence, adhering to high standards of confidentiality where necessary;
  • Set up pupil school reports on our school system (ENGAGE)
  • Take action-based and accurate minutes in meetings when asked (SLT, Staff meetings etc) and distribute them as soon as possible after the meetings;
  • Plan and organise programmes for visitors to the School, ensuring that the appropriate information, tours and refreshments are provided;
  • Liaise with finance, maintenance, catering teams, ensuring clear lines of communication at all times;
  • Liaise with relevant staff in preparation for key events such as Speech Day, parents’ evenings, school play and attend the weekly events meeting;
  • Undertake reception duties promoting a welcoming and pleasant atmosphere and assist visitors to complete the required security procedures;
  • Working with the DSL, administer child protection letters from previous schools and nurseries for incoming pupils;
  • Have oversight of the school calendar and work closely with staff and the Head on daily logistics and annual events;
  • Have due regard to safeguarding, health and safety and follow the school’s policies.
  • Undertake other ad-hoc clerical and administrative duties as required by teaching staff
  • Support Open Days and Parent visits;
  • Be responsible for the school’s weekly newsletter;
  • Be responsible for building the alumni database;
  • Work with the Head and Marketing lead to create a half-termly wow magazine;

Work closely within the Head of Admissions to:

  • Liaise with all prospective parents in a warm, efficient and diplomatic manner;
  • Assist with the organisation of Open Mornings e.g. overseeing attendee lists, greeting and advising parents;

  • High level of organisation with the ability to work accurately under pressure, managing competing priorities and meeting deadlines in a calm and efficient manner.
  • Strong written and verbal communication skills;
  • A high level of IT competency, including the ability to work confidently with Outlook, Word, Excel and databases;
  •  Ability to run a website, or be able to learn;
  • Must have excellent knowledge of both PowerPoint and Canva
  • Excellent interpersonal skills and sense of humour;
  • Discretion, professionalism and the ability to maintain confidentiality at all times;
